1. What documents are required for professionals to work at our facility?

To work at your facility, professionals are typically required to submit several documents for verification.
These may include the following but are not limited to:
- National Criminal Background Check
- In-person or Online Basic Life Support (BLS) or Cardiopulmonary Resuscitation (CPR) certification
- Negative Tuberculosis (TB) test or Chest X-ray
- Office of Inspector General (OIG) and System for Award Management (SAM) clearance
- Active state license or certification

2. How are documents verified?

Ensuring the authenticity and accuracy of the credentials and documents submitted by professionals is crucial to our verification process. We employ a rigorous and systematic approach to verify each document, ensuring that all professionals meet the necessary standards and qualifications. Here’s how we verify various documents:

National Criminal Background Check
Conducted via Checkr to ensure Professionals have no criminal history that could result in suspension or revocation of relevant professional licenses, or that we, at our discretion, deem disqualifying. Background checks are performed when professionals sign up and annually thereafter. -
In-person or Online Basic Life Support (BLS) or Cardiopulmonary Resuscitation (CPR) certification
Professionals must provide their BLS or CPR certification card. This certification will be cross-referenced with the training center or provider to ensure authenticity. You can choose whether your facility accepts in-person or online training. -
Negative Tuberculosis (TB) test or Chest X-ray
Professionals must submit a TB test conducted in the last 12 months or a chest X-ray from the past 5 years. The TB test should either be negative or show an induration between 0mm - 14mm. Chest X-rays must show no anomalies. If a Professional's TB test is positive, they must provide a chest X-ray. Alternatively, a negative TB blood test is acceptable. -
Office of Inspector General (OIG) and System for Award Management (SAM) clearance
Professionals are screened against the OIG's excluded parties list when they sign up and monthly thereafter. Additionally, they are screened against the SAM's excluded parties list upon signing up and monthly thereafter. -
Active state license or certification
Professionals submit their license information, which we verify through the relevant state registries, if applicable. -
Valid personal identification verified with a selfie
Professionals provide their driver's license, state ID, US passport, military ID, permanent resident identification, and other proof of identification along with a selfie, which is verified via Stripe's Identity service.

3. Can we remove or modify any of the document requirements for professionals?

Yes, you can remove or modify document requirements based on your facility's specific needs. If you wish to make changes to the requirements, please notify us via email at onboarding@clipboardhealth.com or by submitting this Facility Requirement Update Request Form, and we will assist you in updating them accordingly.

4. How often should professionals update their documents?

The frequency of document updates may vary depending on the document type and facility policies. However, it is generally recommended that professionals renew their documents periodically to ensure compliance with regulatory standards and maintain up-to-date credentials.

5. What happens if a professional's document expires or becomes invalid?

If a professional's document expires or becomes invalid, they may be temporarily ineligible to work at your facility until the document is renewed or updated. We have automated notifications in place that remind professionals about their soon-to-expire documents to avoid booking interference.

6. How can we verify the authenticity of submitted documents?

Our platform utilizes advanced verification processes to authenticate submitted documents and ensure their accuracy and validity. Additionally, our Onboarding and Compliance team conducts thorough reviews to confirm the authenticity of each document before approving them.

7. How do we access a professional’s document submissions?

Document submissions can be viewed and downloaded onto your device through the Workers page and Calendar view on the desktop and mobile apps.

8. Who has access to a professional's documents?
{{accordion-split}}
After a worker has booked a shift at your facility, users on your account with the Admin, Staffing Coordinator, or Supervisor roles will have the ability to see the worker's documents, including their State Licenses, PCR COVID Test status, Driver's Licenses and more.

9. The Professional is still missing a document, but we want him/her to book for a specific shift

Shift Invites is a new feature in the Clipboard web application that allows you to invite a specific professional to book a shift. You can invite any professional, even if they are restricted and not on your Favorites list, have never booked a shift at your facility before, and have not yet completed all of your Facility's required documentation. When you send an invite, that shift is only available to the invited professional and will be booked as soon as they accept. You can choose whether you'd like to make the shift available to the rest of your favorites if the invited professional declines the invite or doesn’t respond quickly enough. Shift Invites work best when you message the professional beforehand to let them know you'd like to coordinate and invite them to book a shift. You can also send a Shift Invite via the chat feature to make coordinating easier.
This feature is currently only available in the web app, but coming soon to the facility mobile app.

Professionals must accept the invite in order to work the shift. If you are unable to send the shift invites or encounter technical issues, you may submit the Facility Support Request form or call our 24/7 Support line at 408-837-0116.
