This article explains how to post one or more identical shifts to your calendar using the Daily View and Monthly View in the Clipboard web portal.
Posting Shifts from the Daily View
The Daily View allows you to post individual shifts or multiple identical shifts for a specific day.
Selecting the Shift Type
- In the side navigation menu, open the Calendar page.
- Select the day you want to post shifts for.
- In the posting form card, confirm the worker type (e.g., CNA, RN, LPN) and the time slot (AM, PM, or NOC).
Adjusting Shift Times
- To modify the default start and end times, select the edit (pencil) icon next to the time range.
- In the Edit Shift Time dialog, adjust the times and choose whether to apply the change to this shift only, shifts of this qualification, or all shifts.
Posting or Inviting
- Select Post to publish the shift(s) to your calendar. Workers who meet the qualification can then book them through the marketplace.
-
Alternatively, select Invite to send a Shift Invite to specific workers in your favorites. Invites are single-shift only, regardless of the quantity selector value.
Note: All shifts in a single post must share the same worker type and time slot. To post shifts with a different qualification or time slot, use a separate posting form card.
Posting Shifts from the Monthly View (Bulk Posting)
The Monthly View provides a bulk posting flow for scheduling multiple shifts across several days and weeks at once.
Starting a Bulk Post
- In the Schedule page.
- Select the Add Multiple Shifts button (or the + control on a calendar day cell) to enter bulk posting mode.
- Select the worker type (e.g., CNA) for all shifts in this batch.
Adding Shifts to the Calendar
- On the monthly calendar, use the + and - controls on each day cell to set how many shifts you want for that day.
- The Bulk posting sidebar on the right displays a summary of all staged shifts, grouped by date and time slot.
The Bulk Posting sidebar shows each day's staged shifts with quantity selectors, a total count, and the Post shifts button:
- To adjust the time for a specific day and time slot, select the edit (pencil) icon next to that row in the sidebar.
- To remove a specific slot, select the X button.
- To clear all staged shifts and start over, select Clear all.
Submitting the Bulk Post
- When you are satisfied with your selections, select Post shifts.
- A confirmation dialog appears summarizing the shifts to be posted. Select Confirm to post all shifts at once.
- A progress indicator shows the posting status as shifts are created.
While shifts are being posted, a progress bar replaces the Post shifts button:
Bulk Posting Rules
- All shifts in a single bulk post must be the same worker type (e.g., all CNA or all RN).
- You can post shifts across multiple days and weeks in one batch.
- Each day can have shifts in different time slots (AM, PM, NOC) as long as the worker type is the same.
- If you switch to a different worker type mid-batch, a dialog asks whether to continue your existing draft or start over.
Examples
- Post 3 CNA AM shifts every Monday, Wednesday, and Friday for the next three weeks.
- Post 5 CNA AM shifts on a specific day.
- You cannot mix worker types in a single bulk post (e.g., 2 RN AM shifts and 2 CNA AM shifts require two separate posts).
Additional Options
Shift Notes
You can add a shift note with specific instructions before posting. Select Add shift note in the posting form to include details such as unit assignment, dress code, or other requirements.
Require Approval to Book
If your workplace has booking requests enabled, a Require approval to book checkbox appears in the posting form. When checked, workers who want to book the shift must request approval first, and a user on your account must confirm the booking.
Gender Requirement
If enabled in your workplace, the gender requirement toggle lets you specify a gender preference for the shift.
Required Roles and Permissions
Shift posting is available to users on your account with one of these roles:
- Admin
- Shift Management
Users with the Post Shift permission can also post shifts without a full Admin or Shift Management role.
