How do Digital Timesheets work?
- When a professional arrives for their shift, they will clock in using the Clipboard Health app on their mobile device.
- The app will only allow the professional to clock in when they are at your facility. They will also need to log their break, and clock out at the end of their shift.
- When the professional clocks out, we will generate a Digital Timesheet with their timecard information. They will need a signature from a member of your staff to submit it.
- As shown in the picture above, your staff can make any necessary adjustments to the times when signing a professional's Digital Timesheet.
- If you require that the professional take a 30 minute break (you can adjust this requirement in the Clipboard web portal), we will apply that rule to the shift.
Auto-Verification
If the professional and your staff complete a Digital Timesheet, we will be able to Auto-Verify their shift. No more back and forth with us prior to invoicing!
Digital Timesheets will be available for your review in the Billing section of the Clipboard Health web portal. For more information about invoices and billing, please see Facility Billing FAQs.
What if I still want to use paper timesheets?
We recommend using Digital Timesheets, though you can use paper timesheets if you would like to.
Using paper timesheets in addition to Digital Timesheets
If you would like to use Digital Timesheets, and would also like professionals to complete additional paper timesheets for your own record-keeping, you are welcome to do so.
Things to know
- Make sure professionals coming to your facility know that this is a requirement. You can send a chat message using the app, add it to your facility instructions, or ensure the shift supervisor lets them know.
-
If you need a paper timesheet template, we have one available here.
- We will continue to use the Digital Timesheets from the app to verify shifts and invoice you.
Using paper timesheets instead of Digital Timesheets
To use paper timesheets exclusively, please contact our Customer Support at 408-837-0116, and let them know that your facility would like to opt out of Digital Timesheets. Our Support team will adjust your account settings to reflect this.
Things to know
- Make sure professionals coming to your facility know that this is a requirement. You can send a chat message using the app, add it to your facility instructions, or ensure the shift supervisor lets them know.
- Professionals will still use the mobile app to clock in and out. At the end of the shift, instead of completing a Digital Timesheet, they will need to upload a picture of the paper timesheet in the app.
- We will be unable to Auto-Verify the shift. Instead, our team may need to reach out to your facility to confirm the reported hours. We ask for someone to be made available to take these calls regularly.
- If you need a paper timesheet template, we have one available here.
Maple NFC Tags (beta)
Maple NFC tags are designed to improve timekeeping security and accuracy. Currently, they are only available in select locations. If you are interested in joining the beta, please contact Customer Support at 408-837-0116.
What is a Maple NFC tag?
- Maple is a next-generation scheduling and timekeeping platform. You can visit their website here.
- One of Maple's products is an NFC (near-field communication) tag used for timekeeping. To clock in, professionals will need to tap their mobile device against the tag directly. This gives you assurance that they are in the building when they start their shift.
- Our mobile app is integrated with Maple.
How do I use the Maple NFC tag?
- Maple will send you a timekeeping poster with the NFC tag affixed to it (see image below).
- You just need to put up the poster in an accessible spot -- we recommend reception, or the nurse's station. Since clocking in requires cell service or WiFi, we also recommend putting up a sign with your facility's WiFi name and password next to it.
- Add the location of the NFC tag to your Timeclock Settings in the Clipboard web portal, and toggle it on.
- Going forward, professionals will need to tap their mobile device against the tag to clock in, record their break, and clock out!
